As a client to an obliged entity who would be making use of Diligex's KYCMATIC AML/KYC solution, you may be asked from time to time to fill out an online form, typically during the onboarding process with the obliged entity and potentially throughout the relationship with the same obliged entity.
This section of this help site is to guide you as the client to the obliged entity to be able to make use of the online KYC form.
In order to proceed, you first must have received an email from the obliged entity you are working with, who would have had to send a link via email to you directly from the KYCMATIC solution. Provided that you have this email, you may proceed with the below instructions.
Provided that your obliged entity would have sent you an email with a link directly through KYCMATIC, you would have received an email similar to the dummy email as shown above, addressed to yourself.
Once received, you would then be able to access the online form, albeit must first authenticate yourself, by selecting the 'Access Form' link contained within the email.
It is important to keep this email until you have fully submitted the online KYC Form as it would be used to keep accessing the online form.
As you select the 'Access Form' link from the email, you would be directed to a web page within your browser of your chosen device which would ask you to enter a six digit code as shown above.
At this point, KYCMATIC would have sent you another email with a code (please allow a few seconds for the code to be sent to you via email) which would contain the six digit code as provided in the image below. Please note that the code would expire within a few minutes and would require you to select the 'Resend Code' to be able to receive a new one.
As you enter the code received through email as shown above, within the text box provided in the browser, provided that the code is still valid, then the online KYC Form would be presented to you as shown below. The form presented would either be that of a Natural Person or that of a Legal Arrangement, depending on the scenario.
Once you enter a valid working and non expired code which would have come through email, you would be directed to the online KYC Form as shown above. As mentioned above, it is important to keep the email containing the link for you to keep accessing the online form until you would have finalised and submitted it. Selecting the 'Save as Draft' would save the online KYC form in its current state until you would be able to continue it later.
When you start to enter information in the form, you shall quickly realise that the selected/highlighted section on the left would expose the required information/data fields on the right. As you fill this information and select the 'Next' button, you would cycle from form to form sequentially.
Once you enter a valid working and non expired code which would have come through email, you would be directed to the online KYC Form as shown above. As mentioned above, it is important to keep the email containing the link for you to keep accessing the online form until you would have finalised and submitted it. Selecting the 'Save as Draft' would save the online KYC form in its current state until you would be able to continue it later.

In certain scenarios, especially when filling out a Legal Arrangement KYC Form, invovlements would need to be associated with the main entity, for example, when the main client is a Legal Arrangement of some form, which would have its own involvements.
To add and maintain the involvements of the main entity, make your way to the 'Involvements' tab on the left which would provide you the ability to start adding involvements under the main entity. As shown in the above image, when you come to add an involvement, the online KYC form would provide you a number of different legal arrangement options as well as that of a natural person. Here, you must build the actual structure of the main entity that would reflect how the structure is actually set up.
As an involvement is added, the invovlement details may also be seen, enabling you to review the information which has been entered. In doing so, you may also opt to send an email directly to the specific invovlement, example entity 'XYZ' as shown in the above, to ask their representative to fill up the strucutre pertaining to XYZ on your behalf.
To achieve this, provided that a representative's email has been entered for the involvement, the 'Send Link' button would be enabled which would enable you to send an email directly from the online KYC form to the representative of the invovlemet. This way, the representative would receive a similar email to what is shown above, which would only link them to their respective part of the form for them to fill out, as shown below.
Throught every form, and depending on what device you are using, you would have the ability to alter the layout of the form between a compact and cozy layout (by altering the form to show either 1, 2 or 3 columns of fields). To achieve this, you must select the 'cog' wheel on the top right and select the desired layout as shown below.
